Make a messy set of notes easier to act on without inventing details.
Before you start
Practice locally with fictional details. This lesson does not require a paid AI tool.
Separate what your notes say from what the AI is proposing.
Use a small, safe example
Try these fictional notes: ‘Community garden: Sam can bring tools. Need a volunteer for watering. Meet next week, day undecided. Ask the center about storage.’ These contain a few actions and a few open questions.
Ask for a structured result
Use: ‘Organize these notes into a table with action, owner, and due date. Use “not specified” where a detail is missing. Then list open questions. Do not invent commitments.’ Paste the fictional notes beneath the instruction.
Compare every row with the notes
Sam may bring tools, but nobody has agreed to water. ‘Next week’ is not a specific date. A useful result preserves those uncertainties. Correct any inferred assignment before sharing a summary.
Make the human decision
AI can organize the information, but your group needs to choose an owner, agree on dates, and confirm commitments. Keep proposed actions in a separate list so suggestions do not become facts by accident.
The notes do not say who will water the garden. What should the summary show?
